4.0 Procedure

4.6 Development of a New Document

The range and degree of detail of the documentation depends on our current needs, and will vary with the level of complexity of the task and interaction of processes. The MS Manager is responsible for maintenance of the MS documentation. When a new documented is needed the following steps are taken.
a

MS Manager assigns the document a unique number and records it on the MSP-DB-001 Document Matrix: new document number, process owner, date issued.

The process owner prepares the new document draft using the Document Template:
MSP-TL-4-2-3.1 Template for a New Procedure or
MSP-TL-4-2-3.2 Template for a New Work Instruction

and obtains approvals. Draft is indicated in the "Issue Date" field and is stored in Document Drafts Folder.

c

MS Manager ensures that the new document meets all policy and procedures requirements and that other documents are reviewed and changed as needed including the MSP-PF-001 Management System Process Flow.

d MS Manager ensures that employees review the new document and training, as needed, is completed using the final draft.
e Document is issued and MS Manager notifies all affected employees via e-mail.
f MS Manager updates the MSP-DB-001 Document Matrix

4.7 Revisions to Existing Documents

a

The document champion prepares the new document draft using the newest template:
MSP-TL-4-2-3.1 Template for a Procedure or
MSP-TL-4-2-3.2 Template for a Work Instruction

and obtains approvals. Draft is indicated in the "Issue Date" field and is stored in Document Drafts Folder.

b

MS Manager ensures that the revised document meets all policy and procedures requirements and that other documents are reviewed and changed as needed including the MSP-PF-001 Management System Process Flow.

c MS Manager ensures that employees review the revised document and training, as needed, is completed using the final draft.
d Document is issued and MS Manager notifies all affected employees via e-mail.
e MS Manager updates the MSP-DB-001 Document Matrix, saves previous original in the Obsolete Document Folder and updates the history log of the document.
